This notice covers the marketing website’s contact and waitlist forms. It does not describe the processing of exhibitor files in the CRM. To discuss your event, describe your needs without including exhibitor files or other people’s personal data in your message.

Contact requests
We collect your name, email, topic and message, and your company if provided, to respond to you. The other fields are required to handle your request. Answering questions relies on our legitimate interest in communicating with people interested in the project; a request for services may instead involve pre-contractual steps you request.
Previous waitlist registrations
Your name and email are used only to notify you when SummitBase opens. By requesting this alert, you consent to this use. You can withdraw your request at any time by contacting us. This does not subscribe you to a newsletter.
Recipients and providers
Data is accessible to authorised people managing SummitBase and stored on our Hetzner hosting. Contact messages are also forwarded through Resend to our inbox. Cloudflare delivers some media and receives technical information needed to load it, including your IP address.
Retention
We retain registrations and contact messages for a maximum of 12 months after collection, unless you request earlier deletion. If a conversation becomes a contractual relationship, necessary information is transferred to that relationship’s records with a separate notice. This retention period also applies to copies in email inboxes. Security backups must be isolated from ordinary use and expire within 30 days; deletions are reapplied before a restored backup is put back into service.
Abuse prevention
We check request origins and limit incoming message sizes to protect the form. We record the receipt date and a request identifier to process your request.
Your rights
You may request access, correction, erasure or restriction, withdraw your consent and, depending on the legal basis, exercise your right to object or data portability. Contact us from the relevant email address; further evidence is requested only when necessary to verify your identity.
Cookies and local storage
The website remembers your theme preference in your browser. No advertising or marketing audience analytics tool is integrated into the website. Any change will require an updated notice and, where required, your prior consent.
International processing
Processing locations and safeguards for international providers are being verified. Contact us for the available information; this part of the notice still needs finalisation.
