Exhibitor onboarding checklist.

Exhibitor onboarding is the process of turning a confirmed participant into a team ready for the event: correct company details, an assigned booth, reviewed documents and staff access. Give every requirement an owner, a due date and a clear completion rule.

1. Confirm the exhibitor and the edition

Record the company name, main contact and the event edition. Separate reusable company information from edition-specific participation. Confirm who can approve changes and who should receive operational questions.

2. Confirm the booth assignment

Associate the exhibitor with the correct booth. Check that the organizer and exhibitor see the same assignment, and make the team responsible for changes explicit. Share the relevant setup instructions for that event.

3. List the required documents

For each document, specify what to submit, the deadline, the reviewer and what counts as accepted. Requirements vary by event: use the actual organizer and venue requirements rather than copying another show’s list.

4. Invite the exhibitor team

Confirm which people need access and which actions each person should be allowed to take. Ask an exhibitor to check their company details, find their booth and submit a document before inviting the whole team.

5. Review submissions and follow up

Distinguish missing, submitted and accepted documents in your working checklist. Follow up with the specific item, the required correction and the next deadline. Keep a named owner for unresolved questions.

6. Check staff and badge details

Confirm the people attending, the spelling of their names and any badge information required by the event. Decide how late changes will be communicated and who will handle them on site.

7. Run a final readiness review

Review each exhibitor’s contact, booth, documents and staff details together. Record unresolved issues and their owners. Keep the completed edition’s records separate from the next edition.
